Data storage of confidential information required high security processes and equipment to ensure the privacy of our client’s information.

A video surveillance system was installed to ensure that all “touch points” of the client data (both physical and electronic) were monitored and recorded. Wood & Associates hired an independent security firm to “hack” and test our data security systems and we passed the audit with perfect scores. Fulfillment processes were customized to ensure that no product was left unattended when it was out on the production floor.

High-quality inkjet output of the team’s logo

Background

The client’s envelope supplier was unable to meet its needs to produce envelopes with their logo on it. A mailing to season ticket holders was dated and needed to get in their hands as soon as possible.

W&A Solution

Wood & Associates took the image and imported it to our inkjet system. After manipulation to ensure the aspect ratio was accurate, the logo was reproduced on the envelopes at the same time as the variable data address information.

Result

Our client’s mailing date was met at a lower cost than the envelope company was charging and turned around faster than originally anticipated. The direct marketing piece got into the hands of season ticket holders in time for the promotion.

Insurance Underwriter – Group Insurance Plans

Project

Direct mail management and inventory control

Background

Our client needed to have multiple small group insurance programs managed simultaneously. Each group averaged less than 1,000 recipients – but there were over 100 different groups to manage. The challenge was to manage specific inventory for such a large variety of groups, each with multiple transactions…some 35 different inventory items were accessed by over 100 groups each month!

W&A Solution

Using our internal systems, Wood & Associates customized an inventory system that tracks all transactions for our client’s inventory. As well as tracking, the system now creates custom packing lists and manages back orders to ensure that orders are filled on time. This system is directly linked to our job docket system so that job orders for the warehouse cannot be created if the stock is not available.

  • Reduced time in searching for inventory items that are allocated to jobs when the materials are not in the building.
  • More accurate reporting of inventory levels to the client.
  • Real time updating of inventory levels when creating job dockets.

Publication and Media Company

Project

Build a custom batch order processing application to integrate with the client’s data export and Canada Post’s electronic shipping tools.

Background

When the client was approached by Canada Post about bar coding all their parcel shipments for easier processing, the entire process required change. Going from a manual management of the batch data to a fully automated system meant starting over from scratch.

W&A Solution

Wood & Associates built a custom application to import the data from the client’s database. Once imported, the data is formatted to meet Canada Post specifications, product pick lists are generated, inventory levels are updated and back orders created and reported as they occur. Upon confirmation that the batch is filled, two out files are created, one formatted for the client and the other formatted specifically for Canada Post’s electronic shipping tools. From the out files, the Canada Post shipping labels and manifests are automatically generated to ensure 100% compliance with Canada Post specifications.

Results

  • Timing to process large volumes of data was decreased while ensuring the accuracy of the shipments leaving the building.
  • Back orders are now automatically handled by the program instead of being managed by a person, which has led to the elimination of errors in allocating product when it is received.
